1. Why your call was recorded
You have reached this page because you called a business that uses Minuted. Businesses usually play a short greeting that tells you the call may be recorded. Recording business calls is lawful in the UK as long as callers are told.
The business records the call so it has an accurate record of what you asked for, such as your name, your number, an address or a job, so nothing you tell them gets lost.
2. Who is responsible for your data
The business you called is the data controller for the recording. They decide why the call is recorded and what happens to it.
Minuted, a product of Made Purple Ltd, provides the phone number, the recording and the write-up on that business's behalf. In data protection terms we are their processor, which means we handle the recording under their instructions and do not use it for our own purposes.
3. What we do with the recording
After the call the recording is turned into a written transcript, a short summary and a list of tasks, so the business can act on what you discussed. This is done using Purple Scribe, a secure transcription engine that is also a Made Purple Ltd product.
Your recording is not sold, not used for advertising and not used to train third-party AI models. It is used only to give the business the notes from your call.
4. The lawful basis
The business relies on its legitimate interests to record and process the call: keeping an accurate record of a business conversation so it can serve you properly and follow up.
If your call included anything especially sensitive, the business is responsible for handling that appropriately. If you have a concern, contact the business, or contact us and we will pass it on.
5. How long the recording is kept
The policy is to keep the audio recording for up to six months and the written transcript and summary for up to twenty-four months.
You can ask for your recording to be deleted sooner, either through the business you called or through us.
6. Where your data is stored
Your call stays in the UK. Recordings are held in encrypted, private storage in a London region, and the systems that process them run on UK-hosted infrastructure. Recordings are never publicly accessible and are only opened through signed links that expire within minutes.
7. Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the recording and any notes made from your call
- Ask for anything that is wrong to be corrected
- Ask for the recording to be deleted
- Object to or ask to restrict how your data is used
8. How to exercise your rights
Because the business you called is the controller, they are the best first point of contact and can usually deal with your request quickly. If you are not sure how to reach them, or you would rather come to us, email [email protected] with the number you called and roughly when.
We will help you reach the right business or, where they ask us to, deal with your request on their behalf. We may need to confirm your identity first so we do not release a recording to the wrong person.
9. How to make a complaint
If you are unhappy with how your data has been handled, please tell the business, or tell us, so we can try to put it right.
