1. What is recorded and when
When someone calls a Minuted number and the business owner answers, the call is recorded from the moment it is answered. Recording is always on for answered calls, on every plan.
If a call is not answered it goes to voicemail. Voicemail messages are recorded too and run through the same pipeline. A missed call with no message leaves a log entry but no recording. Callers hear ringing before the call is answered and nothing is recorded until it is.
2. How callers are informed (the greeting)
By default, before a call connects the caller hears a short greeting that tells them the call may be recorded, for example "Welcome to [business name]. Calls are recorded so we can capture the details of your job."
This announcement is what makes the recording transparent and fair, and it doubles as a professional trust signal. The business controls it: it can keep the default wording, set its own message, or turn the announcement off. Where the default or a suitable custom message plays, callers are told the call is recorded. If a business turns the announcement off, it is responsible for informing its callers another way.
3. Lawful basis for recording and processing
In the UK a business may record its own calls provided callers are informed, which the default announcement does. Recording and processing are carried out on the basis of legitimate interests: capturing an accurate record of a business call so the details are not lost.
The business that owns the number is the data controller for its call content. Made Purple Ltd, which operates Minuted, is the processor and handles the recording on the business's behalf and under its instructions.
4. How recordings, transcripts and summaries are used
The recording is transcribed and turned into a plain English summary and a short list of todos. These are sent to the business owner and shown on their dashboard so they can act on what was said.
Recordings and notes are used only to provide this service to the business. They are not used for advertising, not sold and not used to train third-party AI models.
5. How your calls are written up (Purple Scribe)
Transcription and summarisation are done by Purple Scribe, another Made Purple Ltd product. It runs inside the same company under the same security controls. The call audio is passed to Purple Scribe securely, processed to produce the transcript and summary, and the results are returned to Minuted.
Purple Scribe is the same engine trusted by the NHS, local government and the prison service for secure and ethical use of AI.
6. Storage, encryption and UK data residency
Recordings are stored in private object storage in a London region, so your calls stay in the UK. The application and database also run on UK-hosted infrastructure.
Data is encrypted in transit and recordings are encrypted at rest. The storage bucket is private and recordings are only ever served through signed links that expire within minutes. They are never publicly accessible.
7. Retention and deletion
Our retention policy is to keep recordings for six months and transcripts and summaries for twenty-four months.
If a business wants a call removed sooner, including its recording, transcript and summary, it can ask us and we will delete it.
8. Who can access recordings
Recordings and notes are available to the business that owns the number, through their secure account. Access inside Made Purple is limited to the small number of staff who need it to run and support the service. Made Purple Ltd is certified to ISO 27001 and Cyber Essentials Plus.
We will only disclose a recording to anyone else where the law requires it, for example a valid request from law enforcement, and we will tell the business unless we are legally prevented from doing so.
9. Caller rights and how to exercise them
If you are a caller and want to see, correct or delete a recording of your call, the business you rang is the controller and the first point of contact. You can also email us at [email protected] and we will pass your request to them or handle it on their behalf.
